Rules and Regulations:

  • Volunteers must be at least 18 years of age by festival time. Youth Volunteers 15-17 must be onsite with a legal guardian.

  • Work schedules vary. Festival Volunteers are required to work approximately 4 hours per day for a minimum of 1 day, depending on the crew. Many crews have 2-3 day schedules, read the crew descriptions.

  • Pre-Festival Volunteers – Site Crew and Prefest Camping Crew work from Friday-Sunday. They do not work during the festival. Post-Festival Volunteers work Monday after the festival.

  • Volunteers must be available for all three days (Friday, Saturday and Sunday). Some crews begin prior on the Friday, some work on Monday (see Crew Descriptions). Please DO NOT APPLY if you cannot volunteer all three days.

  • Consumption of Alcohol or drugs: Volunteers must be 100% sober while working. Reporting to work inebriated or drinking on the job will result in loss of volunteer status, festival privileges and ability to volunteer at festival in the future.

  • Volunteers are assigned to crews by our Volunteer Coordinator. Shifts and specific duties are assigned by your Crew Chief. Choose your top two crew choices keeping in mind that it is not always possible to have your choice. New Volunteers are encouraged to sign up for and most likely placed on Traffic and Safety, Camping,Recycling, and Gate Crews.

  • Many volunteers return each year. As this is very helpful to the festival, priority is given to experienced volunteers–followed by new volunteers on a first come, first served basis. Be advised that there may not be openings on certain crews.

  • While we would love to accommodate everyone’s schedules, unfortunately custom schedules are not possible. When you sign up to volunteer, you are agreeing to work whichever shifts you are scheduled for during each day of the festival. We do our best to make things fair and to distribute shifts evenly, so most departments operate on a system where volunteers work a morning shift, an afternoon shift and an evening shift. However, it is possible that you will be scheduled for three similar shifts, particularly if working in a department that has greater responsibilities, such as Stage Crew. Since our needs often change last minute, schedules cannot be finalised until just before the festival. For this reason, we cannot provide you with your schedule until you arrive on site at the festival and meet your Crew Chief.

VENDOR CHECK-IN:

Brief Description: Pre-fest work checking in food and craft vendors on Sunday 10th January from 7.30am to 9.30am.

During the festival this crew checks in the musicians as they enter the festival.

Requirements: Must have a valid driver license, lift equipment up to 25kg, be discreet and conscientious of vendors space and privacy, have a good and helpful attitude.

ARTIST HOSPITALITY

Brief Description: Set up and maintain/clean Artist Hospitality area.

Requirements: lift up to 25kg, be discreet, and conscientious of musicians space and privacy, have a good and helpful attitude.

CAMPING CREW

Brief Description: Maintain festival camping areas. Work includes, helping campers locate camping spots, monitoring the camping entry gates, and ensuring that campers comply with rules throughout event.

Requirements: Know the camp rules, be confident in patrolling the camp area and tell patrons politely if they are breaking rules, valid driver license. Crew works Friday through Sunday. This crew operates 7.30am-7.30pm Friday and Saturday and 7.30- 10am Sunday. Clean up crew is required Monday at 10am.

CAMPING SET UP CREW

Brief Description: Set up festival camping areas on the Thursday/Friday. Work includes setting up designated family camping areas/rubbish facilities.

Requirements: Lift and carry 25 kg, work on feet , use of arms and shoulders to hammer in sign and fence posts, set up signage, fencing, facilities throughout camping area. Crew works Thursday-Friday setting up the camping areas, Friday/Saturday helping with Patrons getting into the camping area and Monday for taking down fencing and signs.

COURTESY SHUTTLE CREW

Brief Description: Provide transportation to and from camp site, parking and festival site for those with mobility issues.

Requirements: Must have valid driver license, and be able to assist passengers in and out of the vehicle, must be sober and courteous. Saturday-Sunday schedule.

FAMILY ACTIVITIES CREW

Brief Description: Set up and run arts and crafts events with families at the family kidzone area.

Requirements: stand during your shift, be kind to children, pass police vetting to work with children. Includes helping musicians and storytellers as necessary, helping families.

GATE CREW

Brief Description: Handle front gate security issues: checking wristbands and ensuring that prohibited items (such as glass and alcohol) are not brought into the festival area. Crew members search coolers and other packages in a friendly manner..

Requirements: Must be good dealing with people, comfortable enforcing rules in a kind and courteous manner, gates have seats, sun protection and fresh water provided.

INFORMATION CREW

Brief Description: Provide information about the festival and the surrounding St Bathans area. Conducts festival survey. Help ensure that the public has a pleasant experience. Also responsible for lost and found items.

Requirements: Must like working with people, have good communication skills, have a fun, can-do attitude, and be resourceful.

MEDIA CREW

Handpicked from the list of applicants filling out the Media application on our website. Our Media crew is responsible for photos and videos taken during the festival. If you have been invited by the coordinator, please be sure to put that on your application.

PRODUCTION CREW

This crew includes IT, Vendor Set up, Volunteer Check In, Office Crews and Staff and works closely with the festival producer and coordinators. This crew is pre-approved only.

RECYCLING CREW

Brief Description: Pick up trash, recycling and keep festival grounds clean.

Requirements: Some heavy lifting required, carry trash bins and trash bags, walk and pick up small trash around the grounds. Bring work gloves, rain gear, sunscreen, protective shoes and a great sense of humor! Volunteers should arrive Friday afternoon/evening for check in, orientation and scheduling. Shifts begin on Saturday. Monday shifts available.

SITE CREW

Brief Description: Set up the festival site including tents, dance floors, camping and stages prior to the start of the festival. Maintain and troubleshoot throughout the festival; tear down site after the festival.

Requirements: Heavy lifting. Construction, carpentry, or event set-up experience required. Shifts begin Friday before the festival. This crew works pre-festival and post-festival, receives three meals from Vulcan Hotel.

VULCAN HOTEL SUPPORT CREW

Brief Description: Assist the Vulcan Hotel staff.

Requirements: Follow directions, stand for long periods, understand food service and cleanliness, be kind to other volunteers and the public. Kitchen Crew will be cleaning, chopping, preparing light meals for breakfast, lunch and dinner. Also cleaning kitchen area, seating area, and washing dishes.

TICKET SALES CREW

Brief Description: Sell tickets and places wristband on attendee.

Two types of positions available.

Cashier: Must have computer, tablet and typing skills as well as experience in handling $$ and credit cards.

Runner: Exchanging the customers e-ticket, $$ or Credit Card with the cashier for a wristband to be applied to the customers wrist.

Requirements: You must be physically fit, as you will be on your feet for 4 hours on Saturday. Bring a flashlight, rain gear, sunscreen, etc.

4 people required for 4hr shifts (total 16hrs). Must work either morning, Saturday 7-11am, or 11-3pm, afternoon,3-7pm, evening 7-11pm. Volunteers should arrive Friday afternoon/evening for check-in. Shifts begin at 7am Saturday.

TRAFFIC CREW

Brief Description: Handle parking, maintain safe traffic flow, and ensure general vehicular safety around the site. Bring flashlight, rain gear, sunscreen, protective shoes, etc. Bikes are very useful here! Volunteers should arrive Friday afternoon/evening for check-in and assignment. Shifts begin at 7am Saturday.

Requirements: This crew operates 7am-9pm, Saturday/Sunday
